Follow-up Campaigns#

Follow up with a list of contacts on WhatsApp, fall back to SMS when WhatsApp can't be used, and send email alongside — at a safe pace, inside your working hours. Find it under Campaigns → Follow-ups.

How a contact is handled#

  1. WhatsApp first (text, picture, voice message or any mix). If a message has several parts they go in order with a short pause: picture (with the text as its caption) or text first, then the voice.
  2. If the number isn't on WhatsApp, has no content, or the send fails after the allowed retries, the SMS goes out instead (when the SMS fallback is on and your SMS gateway is connected).
  3. Email is sent independently, when the contact has an address and the campaign has a subject and body.

Each contact ends with a clear status per channel: Done, Invalid number, No content, Failed or Skipped.

Your contact list#

Download the template from the campaign page, or use your own sheet. Columns are matched by name, in any order:

  • Every row can carry its own message, picture, voice and SMS. Empty cells use the campaign's.
  • Rows whose State is already filled (for example DONE) are imported as finished and never sent again.
  • Any other column becomes a variable: a column called City can be used as {city} in your messages. Built-in variables are {name}, {full_name}, {phone}, {whatsapp} and {email}.
  • Load contacts from an .xlsx or CSV file, a Google Sheet link (shared as "Anyone with the link can view"), or by pasting rows.
  • Download results gives you the same sheet back with the State columns filled in.

Everything is adjustable per campaign#

Retry failed sends Extra tries for technical WhatsApp failures, before falling back to SMS
n8n hand-off Optionally send each contact to your own n8n webhook; n8n reports results back to a signed callback

You can pause and resume at any time, and Retry undelivered queues failed contacts again.

Good to know#

  • WhatsApp sending uses the connection on the business profile (Evolution or WaSender). The official Meta API only allows approved templates for bulk messages — use Campaigns for that.
  • Only message people who agreed to hear from you. Respect opt-outs and local rules for marketing messages (for example GDPR and PECR in the UK, TCPA in the US).
  • Your administrator can switch Follow-up Campaigns, and each channel inside it, on or off for your account.
