1. Getting Started & Subscriptions
Understanding Credits and Plans
SalesChat AI operates on a Credit System. Every time the AI reads or sends a message, a tiny amount of credit is consumed based on the AI model you choose.
- To view your balance: Go to the Subscription tab in your dashboard.
- To upgrade your plan: Click Upgrade, choose your desired tier (Starter, Growth, Business), and complete the manual payment via bKash or Nagad by submitting your Transaction ID (TRX ID).
- Top-Up Credits: If you run out of credits before the month ends, use the Top Up button in the Subscription tab.
Bring Your Own Key (BYOK)
If you are on a compatible plan, you can use your own OpenRouter API Key. When BYOK is enabled, SalesChat AI will not deduct credits from your account balance for AI messages; instead, you will be billed directly by OpenRouter.
2. Connecting Your Business Profiles
A Business Profile is the channel where your customers contact you (e.g., a Facebook Page, an Instagram account, or a WhatsApp number).
Connect a Facebook Page
- Navigate to Business Profiles on the sidebar.
- Click the Facebook button under "Connect new business profile."
- Follow the Meta OAuth prompts to grant SalesChat AI access to your pages.
- Once redirected back, your connected pages will appear in the list.
Connect Instagram
Instagram doesn't have its own guided OAuth flow — since every Instagram Business account is linked to a Facebook Page, activate it manually instead:
- Navigate to Business Profiles on the sidebar and click the Connect Instagram button.
- In the dialog that opens, pick Instagram as the Channel.
- Paste your Instagram Business Account ID and a Meta access token with
instagram_manage_messages(andinstagram_manage_commentsfor comment auto-reply) — see the Instagram guide for exactly where to get these. - Save. Your Instagram DMs (and comments, once you subscribe that webhook field on your Meta App) now flow through the same AI agent as your other channels.
Connect WhatsApp Business
- Navigate to Business Profiles.
- Click the WhatsApp button.
- Follow the Meta Embedded Signup flow to link your existing WhatsApp Business Account (WABA) number.
3. Creating & Configuring AI Agents
An AI Agent is the "worker" that reads and replies to messages. You must create an agent and assign it to a Business Profile.
Creating an Agent
- Go to AI Agents on the sidebar.
- Click Create New Agent.
- Give it a name, select an AI Model (e.g., Gemini 3.1 Flash, Deepseek v4 Pro), and select the primary Language (English or Bengali).
Linking Agent to a Profile
- Go to Business Profiles.
- Find your connected Facebook Page, Instagram account, or WhatsApp.
- Use the dropdown next to the profile to select the AI Agent you just created.
Agent Settings & Capabilities
Inside an AI Agent's Settings tab, you can customize how it behaves:
- System Instruction: Tell the AI how to act (e.g., "You are a polite sales assistant for a shoe store.").
- Tone & Greeting: Choose how formal or friendly the AI should be.
- Capabilities: Toggle what the AI is allowed to do:
- Analyze Attachments: Allow the AI to "see" images and "listen" to audio sent by customers.
- Send Attachments / Product Cards: Allow the AI to send your catalog items.
- Place Order: Let the AI collect user information (Name, Phone, Address) to automatically create orders.
4. Training Your AI Agent
AI Agents need to know about your business to answer customer questions accurately. Go to AI Agents, click Train on your agent, and fill out the following tabs:
A. Business Info
Provide high-level details:
- Business Name & Description: What you do and your mission.
- Contact & Extra Info: Address, phone numbers, return policies, and website links.
B. Texts
Add specific, unstructured rules or FAQs.
- Example: "Delivery inside Dhaka takes 2 days and costs 60 BDT. Outside Dhaka takes 4 days and costs 120 BDT."
C. Media Files
Upload images, audio, or video that the AI can send to users.
- Transcription: You must write a description for the media (e.g., "Image of our store location map"). The AI reads this description to know when to send the file to a customer.
D. Products
Add your inventory so the AI can show beautiful product cards to customers. * Upload an image, title, price, currency, and description.
- CTA Buttons: Add buttons like "Buy Now" or "Details" that customers can click inside Messenger/Instagram/WhatsApp.
5. Managing Conversations & Handoffs
You can monitor all AI-customer chats in real-time.
Human Handoff (Pausing the AI)
Sometimes a human admin needs to take over a complex chat.
- Go to Business Profiles -> View -> Conversations.
- Click the three dots (⋮) next to a customer's name and select Disable AI.
- Alternative (Auto-Pause): If an admin replies to a customer directly from the Facebook Page Inbox, Instagram, or WhatsApp Business App, SalesChat AI will automatically pause the AI for that specific user.
- Auto-Pause Timeout: In the Business Profile Settings, you can set the AI to automatically wake back up after a certain number of minutes (e.g., 10 minutes) of inactivity.
6. Automating Facebook & Instagram Comments
SalesChat AI can handle comments on your Facebook posts and your Instagram posts/reels. Go to Business Profiles -> View -> Comments.
Comment Presets (Keyword Auto-Replies)
- Click Add under Comment Preset.
- Enter Keywords (e.g.,
price,how much,dam koto). - Enter the Reply text.
- Select the Destination:
- Comment Reply: The bot replies publicly to the comment.
- Inbox: The bot sends a private Messenger/Instagram DM to the commenter.
Negative Comment Deletion (AI Sentiment Analysis)
- Click the Settings gear icon in the Comments tab.
- Toggle on Delete Negative Comments.
- When enabled, the AI will analyze the sentiment of incoming comments. If a comment is deemed highly negative or abusive (score < 0), the system will automatically delete it from your Facebook page or Instagram post.
7. Order Management
If you enabled the Place Order capability in your AI Agent settings, the AI will try to close sales for you.
- Define Order Fields: In Agent Settings, specify what the AI must ask for (e.g.,
Name,Phone,Address,Size). - Taking the Order: During the chat, the AI will politely ask the customer for these details.
- Viewing Orders: Once collected, the AI places the order. You can view all collected orders in a neat table format by going to Business Profiles -> View -> Orders.
