For many Bangladeshi online sellers, the real cost is not a slow day. It is the parcel that goes out, the courier fee that is paid, and the order that comes back because nobody picked up the phone. Cash on delivery makes buying easy, and it also makes fake and careless orders easy.
You cannot remove returns completely, but you can make them rarer. Most of the work happens before the parcel is booked. This article walks through a simple, practical routine that an AI sales agent can run for you in every chat.
Why orders come back
- Incomplete or wrong details: a missing area, a wrong phone number, an address the courier cannot find.
- Impulse orders: the customer tapped "order" while scrolling and changed their mind.
- Repeat returners: a small number of customers account for a large share of returns, and nothing warns you the next time they order.
Step 1: confirm the details in the chat itself
Before an order is saved, the AI agent asks for exactly the fields you decide are necessary, such as name, phone, full delivery address, product and size. It repeats them back and asks the customer to confirm. A customer who confirms in writing is far less likely to refuse the parcel later, and a wrong phone number is caught while the customer is still online. You choose the fields per agent, and you can add or remove them any time in the agent settings. See Orders and courier booking for the setup.
Keep the questions short
Ask for one detail at a time and acknowledge each answer. Long forms in a chat make people give up; a friendly back-and-forth finishes the order.
Step 2: book the courier from the confirmed order
Retyping addresses into a courier portal is where typos creep in. When an order is confirmed, SalesChat AI can book it with Steadfast automatically using the confirmed details, and then keeps the delivery status in sync, so you can see which parcels are in transit, delivered or returned without opening another tab.
Step 3: watch for repeat returners before you ship
Every customer in Contacts & Leads has a profile with order history and lifetime value counted from orders that were actually kept. Customers with repeated returned or cancelled orders are flagged High Return Risk automatically, and their profile shows a warning. When a flagged customer orders again, you can decide to confirm by phone first, ask for an advance payment, or ship anyway.
Step 4: treat good customers well
The same profile marks loyal customers as VIP. Replying to them first, or giving a small thank-you, costs little and builds the repeat orders that make a shop profitable.
A routine you can start this week
- List the order fields your couriers really need and set them on your agent.
- Turn on courier booking so confirmed orders are booked without retyping.
- Once a week, open Contacts & Leads and look at the High Return Risk tag.
- Read a few conversations behind returned parcels and add the missing question to your agent.
